Import a contact list from Pipedrive
Connect Pipedrive once, pick a people filter, and Emelia turns it into a lead list that fills itself up every night. No CSV export to redo, and your campaign activity can flow back into Pipedrive.
Two things travel through this integration: people coming down from Pipedrive to Emelia and, if you ask for it, activity going back up from Emelia to the person's record in Pipedrive.
Before you start: a people filter in Pipedrive
Emelia does not import “all of Pipedrive”: it imports a people filter, in other words a search you saved in Pipedrive (for example, people whose label is “Prospect” and whose country is France). Only people filters are offered: no deal or organization filters.
So create the filter first, in Pipedrive's people view, and give it a clear name: that is the name you will pick in Emelia.
Pipedrive stores a filter as criteria, not as a frozen list. Emelia therefore always treats it as a dynamic list: every night, it reads the filter again and adds to your list the people who entered it since.
Step 1: create the list
In the left menu, open Lead Lists, click New List at the top right, then pick Pipedrive.
12- 1In the left menu, open Lead Lists.
- 2At the top right, click New List.
Step 2: connect your Pipedrive account
The first time, the window reads “Connect your Pipedrive account to import a contact filter”. Click Connect Pipedrive: a Pipedrive window opens, you sign in to your account and allow Emelia. It closes on its own, and the import window then lists your filters.
If nothing opens, your browser is blocking pop-ups: Emelia says so with a “Popup blocked” message. Allow pop-ups for this site, then try again.
It is a delegated authorization, granted in Pipedrive's own window. You can revoke it at any time from your Pipedrive account settings, without changing your password. Once granted, this step does not come back.
Step 3: pick the filter
In the Pipedrive filter menu, pick the filter to import: each one shows up as “Dynamic”. Right below, the Send activities to Pipedrive switch decides whether campaign activity will flow back into Pipedrive (see below): now is the time to set it. Then click Import list.
Emelia fetches every person in the filter and opens the mapping window. At the bottom of the window, a line reminds you which account you are connected with. Connect another account replaces it for your next imports.
Step 4: map the columns
Each person becomes a row, with one column per person field in your Pipedrive, custom fields included. Columns carry the field names as they appear in your Pipedrive, with spaces replaced by underscores (First_name). The primary email lands in an email column, the primary phone in the phone column, and the organization or owner arrive as their name.
The mapping window is the same as for a file. Check these points in particular:
email, first name and last name are mapped toemail,firstNameandlastName.- The organization is mapped to
companyName. It is not always automatic, and it is what lets you find the email of people who have none. - If you keep the LinkedIn profile in a custom field, map it to
linkedinUrlProfile: essential for LinkedIn steps. - The
__pipedrive_person_idcolumn can stay on Skip: Emelia uses it anyway to link each contact to its Pipedrive record. - Internal fields (owner, visibility, activity dates) can stay on Skip.
companyName. 2. The Pipedrive ID, to leave on Skip. 3. Save Mapping. They can receive LinkedIn steps if their profile URL is filled in, and you can run Find email on the list to fill in the addresses. But in a campaign that starts with an email, a person without an address is dropped at the first step.
Syncing: every night, or on demand
A Pipedrive list does not update the second Pipedrive changes. Emelia says so at the top of the list: “Dynamic lists sync automatically every night”. The sync runs at midnight UTC. Someone added to the filter this morning will show up in Emelia tomorrow.
If you don't want to wait, open the list and click Resync now at the top right. The sync runs in the background, and new contacts appear when it finishes.
12- 1Resync now runs the update without waiting for the night.
- 2The reminder of the automatic schedule.
You can only run it once every fifteen minutes on the same list, and it stays unavailable while an email search, phone search or verification is running on that list.
What happens to contacts already there
- No duplicates when syncing. Emelia reads the whole filter again, but only adds the people missing from the list. A person is recognized by email address, failing that by Pipedrive ID, failing that by LinkedIn URL.
- No update of existing records. A job title, company or address changed in Pipedrive does not change in Emelia for someone already imported.
- No automatic removal. A person who leaves the filter stays in the Emelia list and keeps being prospected. Remove them yourself, or add them to the blacklist if they must never be contacted again.
- A separate list. Emelia does not merge the Pipedrive list with your other lists. The same person in two lists attached to the same campaign gets the sequence once; between two campaigns, use lead exclusion.
- No file uploads. There is no Import button on a Pipedrive list, and a dynamic list can't be merged with another one: that is what keeps the sync reliable.
Plugging the list into a campaign
Select the list in the Lead list block of the campaign settings, like any other list. People who arrive later through the sync enter the campaigns that use the list, at the first step, at the campaign's new-contacts-per-day pace.
A campaign that has finished is no longer fed: if your filter must feed a campaign continuously, tick Never-ending campaign for automations where leads are continuously added under More settings. Without it, a campaign that has worked through its contacts can close itself, and people who arrive afterwards won't enter it.
1- 1For a list that fills up continuously, tick Never-ending campaign.
Sending activity back to Pipedrive
If you turned on Send activities to Pipedrive at import time, Emelia adds an activity, marked as done, to the person's record in Pipedrive when:
- they open an email or click a link (only if open or click tracking is on in the campaign, which it is not by default);
- they unsubscribe;
- they accept your LinkedIn invitation, or reply to you on LinkedIn (their reply text is included);
- a manual task in the sequence is marked as done or failed.
Your team sees the outreach history without leaving Pipedrive, and someone who just reacted is not cold-called three days later. Run a first test on a small list to see how these activities look in your Pipedrive.
To keep a copy of every email in your CRM, use the BCC (optional) field under More settings, with the drop-box address your CRM gives you. Be aware that this blind copy inflates the open rate shown in Emelia.
Frequently asked questions
The questions we get asked on this topic, answered briefly.
Why doesn't my filter show up in the list?
Only people filters from the connected Pipedrive account are offered, not deal or organization filters. If you just created the filter, close the import window and open it again. Also check the “Connected as” line: you may be signed in with another account.
Does a person added in Pipedrive show up in Emelia right away?
No, at the nightly sync (midnight UTC). If you don't want to wait, open the list and click Resync now, at most once every fifteen minutes.
Is a person removed from the filter removed from the campaign?
No. The sync adds new people but never removes anyone. Delete the person from the list, or add their address to the blacklist if they must not be contacted at all.
Are changes made in Pipedrive picked up?
Not for someone already imported: their Emelia record keeps the values from the first import. Only new people in the filter arrive with up-to-date data.
Does Emelia see my Pipedrive password?
No. Authorization is granted in Pipedrive's window, which issues delegated access. You can revoke it from your Pipedrive account settings at any time.
Can I connect several Pipedrive accounts?
The import window works with one account at a time: Connect another account replaces it for your next imports. The plan grid lists “1 CRM Integration” for Grow and “Multi CRM Integration” for Scale: if in doubt for your account, ask support.
